Four years of manual operations — phone calls, Excel records, and hand-appointed tutors — transformed into a digital ecosystem: new design system, website and sales funnel, a customized low-code dashboard, and a tutor app on Google Play.
The challenge
KEEP TUTORS had been operating manually for four years. Advertisements were placed by hand, customer calls were taken one by one, tutors were appointed manually, and every record lived in Excel. Keeping even a relatively small portion of the business running required six operators working daily — and every unit of growth demanded more hands.
The approach
We decided to build the entire digital ecosystem for KEEP TUTORS rather than patch individual gaps — redesigning their design system, website, and sales funnel as one coherent acquisition machine.
At the core we built a customized low-code dashboard for daily operations, chosen deliberately to support innovation, testing, and iterative development as the business learned what worked.
We launched their Tutor App on the Google Play Store and automated tutor acquisition and matching: when an operator posts a tuition opportunity, notifications go out automatically to relevant tutors, and interested tutors apply directly through the application.
The outcome
Operational dependency dropped from six operators to one. A significant portion of tutor acquisition and management now runs automatically, efficiency and scalability increased across the operation, and the business achieved more than 10× growth compared to its previous manual operations.
